Verified payment gateway accounts: onboarding, settlement and holds

A verified payment gateway account is a different animal from an exchange profile: the identity check is only half of it, and the business side — settlement binding, descriptor, reserve and dispute ratio — is what decides whether money actually arrives. This guide covers the whole chain.

Two checks, not one

Gateway onboarding verifies a person and a business. The personal side is the familiar document and liveness pipeline. The business side reviews the entity registration, the beneficial owner, the website or product being sold, and the bank account that will receive settlement.

New merchant profiles commonly run a rolling reserve — a percentage of volume held for a fixed period against future disputes. Treat it as working capital that is temporarily unavailable rather than as a penalty, and plan cash flow around the payout cadence rather than gross volume.

Sudden volume spikes trigger holds even on healthy accounts. Ramp deliberately: a steady week-on-week increase passes underwriting review that a single ten-fold day will not.

Keeping dispute ratios under threshold

Most networks act around a one percent dispute ratio, and monitoring programmes start below that. Clear refund policies, responsive support, accurate delivery timelines and a recognisable descriptor together do more for that ratio than any dispute-fighting tooling.

Respond to every dispute with the same evidence pack: order record, delivery or access proof, customer communication and the refund policy the customer accepted. Consistency wins representments; volume of text does not.

Before you take live volume

Run a small live transaction, refund it, and confirm the settlement lands on the expected date in the expected account. That single loop surfaces binding problems while they are cheap to fix.
